Ticket Operations and Box Office Assistant - El Paso Chihuahuas (El Paso, Tx)

Position Overview:

The position drives all the functions for the team’s Box Office. The position reports to the Box Office Supervisor and oversees the processing and payments of all group, season, club, skybox, and individual ticket orders, as well as all non-baseball ticketed events (concerts). 

Essential Job Functions:
• Process all season, group, and individual ticket orders with no errors and in a timely fashion.
• Process all payments and details for club and skybox accounts.
• Oversee printing and shipping of season tickets.
• Hire, train, and manage all seasonal Box Office staff and assist sales staff with ticketing issues.
• Set up and monitor ticketing system.
• Handle all deposits, credit card charges, and refunds for ticket-related orders.
• Create and implement processes for season and group renewals and invoicing.
• Track ticket inventory throughout the off season and season to maximize opportunities to sell to customers.
• Update reports on daily payments, gate revenue reports, ticket availability reports and other reports necessary to the Sales Department.
• Create systems and processes that ensure overall checks and balances exist on each account from a collection perspective.
• Develop and implement a system that verifies that all ticket related sales can be spot checked for validity of accounts and payments.

Skill Requirements:
• Bachelor’s Degree.
• 1 year prior Box Office experience, preferably in a professional sports environment.
• Excellent organizational skills.
• Willingness and ability to listen and learn.
• Strong multi-tasking abilities.
• Ability to express oneself persuasively and get a point across clearly.

Position Overview:

The Account Executive’s main responsibility is to produce group ticket revenue by developing and maintaining season ticket accounts. The AE will sell new accounts to decision makers within businesses and with residential accounts. The AE will also sell new groups accounts through outside sales appointments with businesses, and over the phone sales as needed..

Essential Job Functions:
• Meet all sales goals assigned.
• Set appointments over the phone with decision-makers, consistently meeting the weekly goals for sales appointments.
• Master all sales presentations (taught in sales training), and deliver it in front of company decision-makers, tailoring packages according to each company's needs, and handling objections in an effort to bring in new season seat accounts.
• Develop and maintain a database of potential group- and season-seat customers.
• Contact group leaders through the database and through new leads, particularly after a direct mail piece is released, to bring in new sales.
• Prospect for quality leads, particularly through asking for referrals.
• Provide customer service to existing accounts by visiting with them during games, as well as provide amenities.
• Make phone calls during the season and off-season to ensure personalized, continual contact with ticket holders.
• Work with the Box Office to update certain sales reports.
• Complete any customer service an operational duties in season as assigned.

Skill Requirements:

Candidates must have at least one year experience in group or season ticket sales; internships count.

Summary of Responsibilities:

Each of the Season Ticket Account Executives plays a key role in the managing of existing season ticket holders and building new business relationships that generate new ticket sales.  The season department should meet and exceed annual sales goals.  Each of the Season Ticket Account Executives manages multiple existing accounts and is responsible in generating new accounts each year through cold calling, up selling, and utilizing database of ticket buyers.  Each of the Season Ticket Account Executives exercises his or her business judgment and uses sales development skills when renewing and servicing existing accounts.  Payment collection, payment plans, and management of the renewal processes are critical functions in maintaining our high Season Ticket base.

 

Essential Functions of the Job:

  • Manage multiple accounts by building strong relationships and providing excellent customer service as their direct contact with the organization.
  • Develop a business needs analysis on each season holder to sell additional season tickets, group tickets, all-inclusive tickets and individual tickets to meet the needs of the season partner.
  • Complete an annual season relocation process for the season account holders based upon their needs and want for a more desirable location.
  • Invoice and collect payments from accounts, including setting up payment plans and monitoring compliance.
  • Continue to build relationships by hosting clients at multiple season tickets holder events.
  • Game day management of season ticket holder window in box office.
  • Show existing season ticket holders and season ticket holder prospects different options in the ballpark.
  • Educate season ticket holders on new or revised amenities for being a season ticket holder.

 

Education and Experience Preferred:

  • Bachelor Degree in Sports Management, Marketing, Business or related field
  • 2 to 3 years of sales experience, preferably with a professional/minor league sports team

Background: The Reno Aces, Triple-A affiliate of the Arizona Diamondbacks, and Northern Nevada’s premier professional soccer organization, are expanding their portfolio to include a USL soccer team beginning in 2017 which will play a 15 home game schedule at Aces Ballpark.

Aces Ballpark is also home to the Freight House District, a one-of-a-kind four-venue restaurant and entertainment venue, Slaughter House in the month of October – the area’s largest haunted house – and Aceskating from November to February – Reno’s only outdoor ice rink.

The Aces are one of the top organizations in baseball priding itself on teamwork, professionalism, accountability, and dedication. We are looking to do the same with our expansion into the United Soccer League.

Position Summary: The Promotions Crew/Street Team is responsible for fulfilling game day entertainment needs on the field during all Aces games and enhancing the Reno Aces and USL Reno brand by attending various events throughout the Reno-Tahoe area.

Essential Duties & Responsibilities:

  • Fulfill non-game day and game day entertainment elements for the Reno Aces and USL Reno soccer club
  • Assist with the execution of game day activities with the mascot performer, emcee, and Promotions Coordinator, including but not limited to: greeting fans, signing fans up for on-field games and contests, distributing giveaways, swag tosses, executing on-field games and skits and Kids Club events

Essential Duties and Responsibilities:

  • Direct, manage and execute all facets of ticket processing including incoming individual and group orders for both baseball and special events, with strong emphasis placed on customer service and fan interaction.

  • Oversee and manage accounting, reconciling, and maintaining other financial aspects of the Ticket Office for both group and game day events.

  • Work with marketing and ticket sales to collect, analyze, and interpret data to create new sales leads and marketing strategies.

  • Coordinate and work closely with our Marketing department to facilitate all targeted ticket programs.

  • Oversee the training of all part-time employees who will staff the Ticket Office.

  • Supervise and guide the part-time staff on a daily basis.

  • Work with the group sales department filling and managing all group orders.

  • Manage and resolve customer service needs involving ticketing issues.

  • Effectively and efficiently administer all Ticket Policies and Procedures.

  • Provide Executive Management with appropriate ticket reports; revenue and ticket counts.

  • Assist Accounting, as needed, in reporting of ticket revenues and related needs.

  • Oversee the processing of all credit card payments for ticket orders, sponsors, suite client and River Cats Foundation.

  • Ensure proper audit controls and close out and reconciliation systems are in place

  • Process twice weekly (season) and weekly (off-season) deposits for all box office operations.

  • Coordinate deposit collection with Brinks.

  • Other Ticket Operations duties as assigned.

  • Performing additional duties as assigned by General Manager.

  • Liaison with Ticketmaster “Company Representative” in determining enhancements and upgrades.

  • Create manifest, build events and manage inventory within the ticketing system for all River Cats and Raley Field ticketed events.

  • Oversee cash counting and deposits for Parking, Merlinos, and Kids’ Corner.

    Requirements/Qualifications: The requirements listed below are representative of the knowledge, skill, education, and/or ability required.

  • Bachelor’s Degree in Data Management or Management Information Systems a plus
  • 1-2 years Box Office experience with emphasis on cash handling and reporting
  • Knowledge of Ticketmaster system preferred
  • Working knowledge of Microsoft Office applications.
  • Outgoing and positive personality with strong written and verbal skills
  • Previous customer service experience
  • Previous management experience a plus.
  • Experience in sport organization or related business, especially in a ticketing capacity, preferred but not required.
  • Ability to work with all levels of staff and departments within the organization.
  • Well-organized, self-motivated, energetic and possessing the ability to handle multiple projects simultaneously.
  • This position requires that you have flexible work hours, which include being able to work nights/weekends and some holidays.

Detailed Description:

• Responsible for selling Tacoma Rainiers ticket packages – including season tickets, mini-plans, group outings and other ticket packages.
• Responsible for servicing sales accounts by providing unsurpassed customer service.
• Responsible for generating and developing new business through leads lists, name collection activities, cold calls, networking events, speaking engagements, etc.
• Maintain a high standard of integrity during the sales and service process with each customer.
• Attend team and community events for the purpose of maximizing sales opportunities.
• Keep accurate sales files, customer service files, call reports, appointment schedule reports, prospects reports, etc. Maintain weekly communication on all activity reports.
• Follows and ensures implementation of all team sales programs.
• Assist with the development of team sales databases.
• Assist with sales campaigns.
• Works with Event Services to implement sales themes, promotions and events.
• Network within the local business area to acquire new business.
• Responsible for in-stadium activities relating to the function of ticket sales (ie. Customer Service Booth, promotions, name generation opportunities, meet and greets, etc).
• Responsible for renewing established accounts from year to year.

Hours of Work: This position will have game day responsibilities. Typical hours of non-game day work will be 8 AM – 5 PM (and beyond). Estimated game day hours will be 9 AM – 10 PM.

Compensation Package:

• Full time salary position. Pay scale based on experience.
